Quotation price lists stock recalculation

The lighter sibling of the full recalculation. It touches neither prices nor the item selection of a price list — it refreshes one column: "In stock".

Where to find it: Modules → Sales Orders → Maintenances → Quotation price lists stock recalculation

That is the number a customer sees next to an item on the price list page, the one they use to decide between ordering now and waiting. Stale stock annoys more than a stale price, and it is cheap to compute — which is why this maintenance usually runs often.

A worked example

Stock recalculation for price lists

A single field — "Code". Leave it empty for every price list, fill it in to narrow the run down to one.

The figure comes from the location named on the price list card itself (the "Filters" tab, "Location" field). Different offers may therefore show different numbers for the same item — each looks at its own warehouse. Several locations separated by commas are added up; an empty field means the total stock across all locations.

Like the full recalculation, this one skips closed price lists and those whose "Valid to" date has passed: there is no point refreshing what a customer can no longer open.

The buttons are the same: "Execute" now, "Scheduled" for autopilot. A typical schedule is a few times a day, or hourly during business hours.

How it differs from the full recalculation

Price lists recalc Stock recalc
Prices updates leaves alone
Item selection (filters) rebuilds leaves as is
"In stock" column updates updates
Cost of a run heavier light, can run often
Parameters manager, code code

Typical situations

  • Stock in the price list does not match the warehouse. Check which location the price list card names: the figure is computed for that one, not for all warehouses together.
  • A particular price list was not refreshed. Same filter as the full recalculation: closed and expired offers are skipped.
  • New prices are needed too. Then this maintenance will not help — run the full recalculation.
  • Stock in the main company's price list was not refreshed. If the price lists are open to you through register sharing, a run started from your company skips the main company's price lists: only the main company computes their stock, from its own warehouse. The window names each skipped price list on a separate line with a warning mark — "The quotation price list of another company is rebuilt only by that company". Run the maintenance in the main company.
