Time Sheet Report

This report answers the question "how many hours went where". The source is the time sheets people fill in; the report consolidates them by customer, project and time class.

A worked example

Report parameters

Parameters: period, user, customer, project and time class. Empty fields mean "all". The «Function» switch picks time sheets by state: «OKed» — approved only, «Not OKed» — unapproved only, «All» (the default) — both.

Time sheet report

The output is grouped by customer: the line carrying a customer code is a collapsed block that opens on a click, showing that customer's time sheets with dates, people and hours.

Grouping by customer is deliberate: in project accounting hours are what gets billed, so the first question is always "to whom".

Time class

The time class separates ordinary hours from evening and weekend ones. It is more than a label: premium rates are calculated from it, which is why the parameters carry a filter of its own.

Price and discount

The report takes the hourly price from the Customer Discount setting for the "item + time class" pair every time it is built. The discount of an approved time sheet is the one fixed in its lines on approval; in an unapproved one — from the line, and if the line has none — from Customer Discount (exactly the one approval will fix). If the lines of one item carry different discounts, the discount column of that item's total is empty, while the amount is still calculated line by line, each with its own discount.

Typical situations

The report is empty. Usually the period is too narrow — the sheets carry other dates.

One person's hours are wanted. Fill in the user field.

Checking how many hours a project consumed. Filter by project and compare with the labour lines in the budget.

After a Customer Discount change the amounts for past periods changed, but the discount did not. By design: the report takes the price from the setting every time, and the discount of approved time sheets from their lines, where it was fixed on approval.
