Vchasno.Kasa

The second fiscal service the system works with — the alternative to Checkbox. The task is the same — a receipt with the tax authority — but the route differs: Vchasno.Kasa fiscalises the sales of ERPJS itself. A till receipt and an invoice with a "Fiscal cash register" filled in are sent to the PRRO when they are posted (a PRRO failure cancels the posting); shifts open and close there too, and cash deposits and withdrawals are fiscalised. From Checkbox, ERPJS only imports receipts rung up at a Checkbox till.

The module has one peculiarity of its own, and it matters: it translates our VAT codes into the service's tax groups. Every rate you use must get a tax group — through its own mapping line or the account's "Default tax group" — or the receipt will go out with the wrong tax or not go out at all.

The route: from a sale to an accounting document

Vchasno.Kasa account: connection + VAT codes ↔ tax groups mapping
        ↓
Sale at the ERPJS till or posting an invoice with a "Fiscal cash register" → the receipt is registered in Vchasno.Kasa → the tax office
        ↓
Fiscal receipts — the log in the system: details, payments, items (the sale's invoice is already posted)
        ↓
Receipts rung up outside ERPJS: Vchasno.Kasa receipts import (service) → invoices: stock, postings, revenue
  1. Vchasno.Kasa Accounts — one record describes one till: how to connect to it and how to translate VAT codes into the service's tax groups.
  2. Fiscal Receipts — the shared receipts log, the same one Checkbox fills.
  3. Vchasno.Kasa Receipts Import — the service that collects receipts rung up outside ERPJS and turns them into invoices. It works only for accounts with "Use Public Fiscal API" ticked and only for the tills named in POS payment modes cards. The invoice is posted when every item of the receipt is in the item list; if even one is missing, it stays a draft for review.

What is worth understanding

The VAT mapping is not a formality. Our rate codes and the service's tax groups are two different references, and the link between them is set by hand in the account. A mistake here does not stop the sale: the receipt goes through, but with the wrong rate, and it surfaces only in the reporting. A VAT code with no mapping gets the account's "Default tax group"; with none set either, fiscalisation is refused and the receipt does not close.

A fiscal receipt is not an accounting document. It proves the sale was registered, but it moves no stock and creates no postings. The accounting trace is the invoice: in an ERPJS sale — the receipt's own invoice, for a receipt rung up outside ERPJS — the invoice the import creates.

No import, no revenue from receipts rung up outside ERPJS. Sales of the ERPJS till do not wait for the import: their invoice is posted together with the fiscalisation. Receipts rung up at the Vchasno till itself have not gone anywhere — they are in the fiscal service; look at the service.

One record, one till. Several shops mean several accounts, each with its own connection.

The module does not trade. Receipts are rung up by POS; Vchasno.Kasa only fiscalises them. Sales of the offline till are not fiscalised: the invoice made from a converted receipt gets no "Fiscal cash register".

Where to start in a new database

  1. Vchasno.Kasa account — the connection to the first till.
  2. The VAT rate mapping in the same record — check every rate you actually use.
  3. Put the account code into the "Fiscal cash register" field of the point of sale card (POS payment modes) or of POS settings: the card is read first, and if it is empty — the setting. The import needs the card.
  4. Ring up a test receipt at the till, find it in Fiscal Receipts and reconcile the amount and the tax in the invoice.
  5. If some receipts are rung up outside ERPJS — run the import.
