Records History Config

This is where record history is switched on — separately for each register. While history is on, the system remembers every creation, save and deletion of a record: who changed what, and when. The history is opened from the record card's menu.

Where to find it: Modules → System → Settings → Records History Config

Field descriptions

  • Register Name — the register to keep history for, selected from the list. One register — one row: if the same register is listed twice, the setting is not saved ("… is indicated several times!").
  • use history — a checkbox: the register's history is kept while it is ticked. Untick it and new saves stop going into the history; what is already recorded stays.

Viewing a record's history

In the record card: menu → "Open operation histories". The "History Operations List" opens — each row is one action on the record:

  • Operation type — "CREATION" or "UPDATE" (a deletion is recorded too, but the deleted record has no card any more — it shows in the reports that read the history, such as Contact Change History);
  • the login of whoever saved the record, the date and the time.

Double-clicking a row opens the card as it was after that save. The "Compare Records" button shows exactly what changed compared with the previous save: the field, the old and new value and, for rows of a document table, the row number.

The "Replay Changes" button in the list steps through all saves in turn, from the first to the last, highlighting the changed fields. The replay can be paused with "Pause", and the ◀ ▶ buttons move one step back or forward.

If the record has no history, the message "History is empty!" appears.

What goes into the history

  • Every save of the record — from the window or through the API. The first save after history is switched on shows no changes: there is nothing to compare with yet, it is the starting state.
  • Only open fields. Passwords and other service fields are never written to the history. A field the user's role cannot see in the card is not visible in the history either.
  • The history can be viewed by anyone with the right to the record's register itself.

Contact record history

Changes in a contact's record history cover only the fields of the contact card itself. Addresses and linked contacts are stored in separate registers and are changed there, without saving the card. Their changes therefore go to the history of the "Addresses" and "Contact Links" registers, provided history is enabled for them in this setting. The Contact Change History report shows them together with the contact's own changes.

A contact snapshot in the history shows its addresses and linked contacts as they were at the moment the card was saved.

Common situations

"History is empty!" although the record was edited. History is not switched on for this register, or the record has not been saved since it was switched on. History is kept from the moment it is switched on — earlier changes cannot be recovered.

Records were loaded by import and are missing from the history. The "Xlsx Import" maintenance writes records directly, without a normal save, so they do not go into the history. The history starts with the first save of such a record in the window.

The first history row shows no changes. It is the state of the record at the first save after history was switched on. Changes appear from the second save onwards.

You need to find who changed a field. Open the record's history, find the date and press "Compare Records": the row shows the field with its old and new value, and the list shows the login of whoever saved it.

You need to see how a document changed step by step. "Replay Changes" steps through all saves in a row; stop at the step you need with "Pause".

Contact changes together with addresses. The contact card's history has no addresses — see the section above and the Contact Change History report.
