Email Setting

The mail server (SMTP) the system sends email through: task reminders, order forms sent by the "Email order form" maintenance, letters sent by the "Mail Sender" maintenance. Each company has its own setting: until it is filled in, no email leaves that company.

Where to find it: Modules → System → Settings → Email Setting

Field descriptions

  • Host — the SMTP server address given by the mail service.
  • Port — the SMTP server port (usually 465 for an encrypted connection or 587 for switching to encryption).
  • Secure — the connection is encrypted from the start (usually with port 465).
  • Require TLS — the connection switches to encryption, and without it the email is not sent (usually with port 587).
  • Ignore TLS — encryption is not switched on even if the server offers it. Only for an internal server in a closed network.
  • User — the login on the mail server.
  • Pass — the mailbox password. The field is write-only: nobody can read the saved password. After saving, the field shows a mask. Leave it as is — the password stays; type a new one — it replaces the old one; clear the field — the password is erased on saving.
  • Default from — the "from" address used when the maintenance sending the email does not set its own.

Checking

The "Check email" button sends a test email "Test email" with the parameters currently in the window (no need to save first). It goes to the address in "Default from" — that is, you receive it yourself. Success shows "Message sent successfully!".

"Host", "Port", "User" and "Default from" must be filled in before the check. "Pass" may be left untouched — the check then uses the saved password, but only for someone with the right to change this setting.

Common situations

"The saved password is sent only to the saved server. To use another server, type the password". You changed the host, port or encryption checkboxes but did not enter the password. The system never sends the saved password to another server or over another kind of connection — that way it cannot be "pulled out" by putting in your own server. Enter the password again — both for the check and for saving.

"Field "Host" is required" (or "Port", "User", "Default from"). The check does not start without these fields — fill them in.

The check passes, but reminders or order forms from another company do not arrive. Each company has its own email setting. Switch to that company and fill in the setting there.

The test email did not arrive. Look in the spam folder of the sender's mailbox. If a server error appeared instead of the success message, the port and encryption checkboxes most often do not match: for 465 — "Secure", for 587 — "Require TLS".
