POS

The till is retail in real time. The sales modules have time on their side: an order, a shipment, an invoice, credit terms, a payment. Here there are a few seconds between "a customer walks up" and "a customer walks away", and everything has to happen inside them: the item found, the discount applied, the money taken, the receipt printed.

So the module is built differently from the rest of the system. There are no documents in the usual sense — there is a shift (a session) inside which the till itself produces sales, cash movements and totals. And this is the only screen in the system that you draw yourself: a set of buttons, the composition of the receipt header, short commands for the scanner.

  1. POS settings — the main console: which payment modes the till accepts, which financial accounts the money lands on, what the cashier may change on a receipt. One per company; a single till (sale point) gets its own card in POS payment modes. A till with its own card takes its payment modes from that card as a whole — an empty payment-mode field is not filled from the general setting; only the cash code for cash in/out, the fiscal cash register and the cash collection account fall back to it field by field.
  2. The screen is assembled from buttons, the POS Sale Header Setting, commands and tips — that is the cashier's workplace.
  3. POS Sessions — the shift: two records, an opening and a closing. The till writes them itself.
  4. Cash in/out — the movements of cash that were not receipts: change broken, a courier paid.
  5. POS cash collection — handing money to the safe or the bank, and it is what moves the cash to the "money in transit" account.
  6. Cash out report — everything that happened to the money during a shift, on one sheet.

What is worth understanding

A session is a read-only register. The till writes it, and the shift's amount cannot be corrected by hand. That is not a whim: cash collection and the till report rely on that figure, so an "adjusted" shift would break the whole cash accounting.

Only cash is collected. Money taken by card is already at the bank — it is shown in the document but never reaches the postings. "Why is the collection lower than the takings" is almost always about this.

What is not on the screen the cashier will not enter. The POS Sale Header Setting decides which fields are visible in the header and which columns in the lines. The module gives freedom and with it responsibility: a badly built screen is a slow queue.

A command is a character with no digits. The system will not save a command containing a digit: otherwise it could not tell the command from an item code. Commands let the cashier change quantities, give a discount or find a customer without leaving the scanner.

Reports are available at the till, but not all of them and not to everyone: POS reports settings hold one record per report per outlet.

The till is not the only path for cash. Money outside receipts is kept by the cash book, and the fiscal side of a sale by Checkbox or Vchasno.Kasa. POS is responsible for the trade and the drawer, not for fiscalisation.

Where to start in a new database

  1. POS settings — payment modes and accounts: without them the till cannot take money.
  2. Departments — groups of tills: a till takes its buttons and reports by the department of its sale point.
  3. POS buttons — pages of commands and fast-moving items.
  4. POS Sale Header Setting and POS Commands Setting — assemble the workplace.
  5. POS reports settings — so the cashier can see their own shift.
