Phone Number Config

The rule for phone numbers: how many digits a number has, whether it is written with "+", and whether a phone is mandatory on a contact card. Each company has its own setting.

Where to find it: Modules → System → Settings → Phone Number Config

Field descriptions

  • Min. length and Max. length — how many digits a number may have (the "+" sign is not counted). By default — from 1 to 14.
  • Prefix + — the number is written with "+" at the start (international format: +380501234567). Without this checkbox a number is digits only, and "+" counts as an error.
  • Phone req. — a contact card cannot be saved without a phone: "Phone" or "Phone 2" must be filled in. The checkbox is on by default.

Where the rule applies

The number format is checked by the window — in the phone fields of the "Contacts", "Addresses", "Sales Orders", "Service Orders", "Shipments" and "Waybill" cards. As soon as you leave a field whose number does not fit the rule, the field gets a red border and its tooltip says "The number does not match the specified format". A card with such a number cannot be saved: the same message appears, advising to check the phone settings in the System module.

A number under the rule is digits only (plus "+" if the prefix is on): spaces, brackets and hyphens are errors. "+38 (050) 123-45-67" fails, "+380501234567" passes.

Whether a phone is mandatory is checked by the server when a contact is saved — from the window, through the API or MCP: "Enter contact phone number!".

Regardless of the setting, the system does not allow two contacts with the same number: "Contact with this phone number (…) is already registered: …" — with the code of the contact that already has it.

Common situations

The number is red although it is written correctly. Most often it has spaces, brackets or hyphens — remove them. Or there is a "+" but no "Prefix +" checkbox (or the other way round). Or there are more digits than "Max. length".

A contact cannot be saved without a phone, but none is needed. Untick "Phone req.".

Imported numbers with spaces are not red. The window checks the format when the cursor leaves the phone field. Records loaded by import or through the API are not checked against the format — the field turns red once the cursor has been in it.
