Asset Histories

The event log of every object: when it was commissioned, when and how many times depreciated, when sold or written off. Entries are created automatically by the services and the disposal document — this register is never maintained by hand: neither the card, nor the API, nor import lets you create, change or delete an entry, whatever the rights ("This log is written only by the system").

Where to find it: Modules → Fixed Assets → Registers → Asset Histories

Walkthrough

The demo history: two vehicles, each with a commissioning and depreciation charges:

Asset histories

A history entry

Each row: inventory number, event ("Assets Expl", "Assets Amort", "Sold", "Written off"), transaction number (for a sale or write-off — the disposal act number), date, category and the department at the moment of the operation. The latter is the log's main value: if an object moved between departments, the history remembers where it was during every operation, while the card only knows the current department.

Where the entries come from

Event Written by
Assets Expl commissioning
Assets Amort every depreciation run
Sold / Written off posting a disposal

Removing OK from a disposal removes its history row too — provided the card's department has not changed since: a row with another department stays; the «Delete Last Depreciation» and «Delete asset commissioning» maintenances each remove their own.

Values available in this document's printed form templates. How to write a variable in a template — see Print Forms.

Header fields:

Variable What it holds
AssetHist_No Inv. Number
AssetHist_FName File Name
AssetHist_NTrans № Trans.
AssetHist_TransDate Trans. Date
AssetHist_Category Category
AssetHist_Depart Department

Common situations

Nothing for an object. It has not been commissioned yet — the card alone creates no events.

Why the transaction number in an entry? It is the bridge to Transactions: in the entry window «Open transaction record» (F2) opens the posting itself with the amounts — for a sale or write-off, the disposal act posting. A read right on «Transactions» is required; if there is no posting with this number (it was removed) — «Such an operation does not exist!».

The department in the history differs from the card. By design: the history keeps the department at the moment of the operation, the card — the current one.
